Setting Additional Fees

Beyond nightly rates, Guestdoors allows you to define various additional fees that can be applied to bookings. This gives you flexibility in how you structure your pricing and cover specific costs. Examples include cleaning fees, pet fees, service charges, or even certain types of local taxes (though dedicated tax features are also available).

Additional fees are managed within the property editing form, under the "Pricing Rules" section.

Creating an Additional Fee

When you add a new fee, you'll need to configure several options:

  1. Fee Name:

    • A clear and descriptive name for the fee (e.g., "Cleaning Fee," "Pet Fee," "Resort Fee"). This name is visible to guests on their booking summary.
  2. Fee Type:

    • Fixed: The fee is a flat monetary value (e.g., $50 for cleaning).
    • Percentage: The fee is calculated as a percentage of the stay price (number of nights x nightly rate).
  3. Amount/Percentage Value:

    • Enter the numerical value for the fixed amount or the percentage.
  4. Conditional Application: These options determine when and how the fee is charged

    • Per Night: The fee is applied for each night of the stay. Example: A $10 "City Surcharge" per night for a 3-night stay would be $30.
    • Per Adult: The fee is applied for each adult in the booking. Example: A $5 "Adult Fee" per adult for 3 adults would be $15.
    • Per Child: The fee is applied for each child in the booking.
    • Per Infant: The fee is applied for each infant in the booking.
    • Per Pet: The fee is applied for each pet, if you allow pets and charge for them.

    Note: A fee can be a one-off charge (e.g., a standard Cleaning Fee applied once per booking) if none of the above options are selected. Or it can be a combination (e.g., a fee that is both per night AND per adult). Review how these combine carefully.

  5. Is this fee a Tax?:

    • If you mark this fee as a tax, it will be excluded from the basis when calculating the dedicated VAT/Sales Tax rate (if that is defined).

Examples of Additional Fees:

  • Standard Cleaning Fee:
    • Name: "Cleaning Fee"
    • Type: Fixed Amount
    • Amount: 75
    • Conditional: (None selected for a one-time charge per booking)
  • Pet Fee (Per Pet, Per Booking):
    • Name: "Pet Surcharge"
    • Type: Fixed Amount
    • Amount: 25
    • Conditional: Per Pet = Yes
  • Extra Guest Fee (Per Adult, Per Night, above a certain base occupancy):
    • Name: "Extra Adult Charge"
    • Type: Fixed Amount
    • Amount: 20
    • Conditional: Per Adult = Yes, Per Night = Yes
  • Tourism Tax (Percentage, Per Booking):
    • Name: "Local Tourism Levy"
    • Type: Percentage
    • Amount: 3
    • Conditional: (None selected for a charge on the total booking value)
    • Is this fee a Tax?: Yes

You can add up to 10 additional fees to a single property.

Important Considerations:

  • Avoid Over-Complicating: While flexibility is good, too many small fees can be off-putting to guests. Bundle costs where it makes sense.
  • Transparency: Clearly list and explain any non-obvious fees in your property description or policies.
  • Local Regulations: Be aware of any local laws or regulations regarding what you can charge as additional fees.
